Our Policies

NORMAL STAYS CANCELLATION POLICY: We request at least 48 hours from check-in time (2 days) advance notice via email, text or phone call for any cancellation. No shows or cancellations less than two days in advance will result in full payment of your booking (please note premium stay dates below).

DEPOSITS: We do not charge at the point of the reservation, however depending on various factors such as demand, length of stay, number of rooms booked, etc. there may be a pre-authorization placed on your card in advance. If there is ever any question or concern, we always encourage you to contact us directly.

BALANCE DUE: Reservation balances will be finalized to the card on file inside the 48-hour cancellation window. The full amount will be finalized at that time and any charges occurring during the stay will be finalized at checkout.

CHECK-IN: Check-in is after 3 pm. On the morning of your arrival, you will receive arrival instructions. Accessing the home and your room(s) is a very easy process. We want your stay with us to be safe and comfortable.

CHECK-OUT: Check-out is by11 am. Let us know in advance if you need a late check-out and we will do our best to accommodate you. When possible, we extend the first hour as a courtesy, anything beyond 12 pm will incur a $25 fee. No late check-outs available past 1pm. 

GUEST PARKING: Parking is limited to one vehicle per rented unit. We may obtain your license plate information during your visit. If there will be more than one car let us know and we can explain alternative parking options.

TAXES: The lodging tax is 14.3%.

PAYMENT ACCEPTED: VISA, MC, AX, Discover, traveler’s checks, cash.

SMOKING: We are a SMOKE-FREE property. Cigarettes, cigars, vaping, and candles are not permitted in guest rooms, houses, or anywhere on The Oaks Victorian Inn property. A cleaning fee of $300 will be charged, even after checking out, for guests who disregard this policy.

PETS: The Oaks is not a pet-friendly facility. Our sister property Clay Corner Inn accepts pet reservations.

PREMIUM DATE CANCELLATION POLICIES: A stay may be considered a premium night(s) if the area demand has spiked. In most cases due to an event such as VT football games, VT and RU Graduation, and other events. A nightly minimum is often required and will be noted on the reservation software when this applies. Deposits may be required for premium dates and may vary.

PREMIUM DATE CANCELLATION POLICIES:

VT & RU Spring Graduation: Two-night minimum for all reservations during both spring graduations. One night deposit at the time of reservation for each room reserved. The deposit is fully refundable up until January 1st of the graduation year. Cancellation after January 1st will result in loss of deposit. Cancellation 60 days prior to stay forfeits the entire reservation cost; full balances are taken after January 1st of the graduation year.

Winter Graduation: No nightly minimum required. $300 deposit upon reservation. Reservations can be canceled up to 30 days in advance of arrival for a full refund. Cancellations made less than 30 days prior to arrival will forfeit the entire reservation cost. Reservation balance due 30 days prior to arrival, we will charge the credit card we have on file. 

VT Football including Spring Game: Two-night minimum for all reservations. 30-day cancellation policy. One night deposit at the time of reservation for each room reserved. Deposit is fully refundable up until 30 days prior to arrival date. Cancellation within 30 days will result in loss of deposit. Cancellation made less than 14 days in advance forfeits the entire reservation cost. Reservation balance due 30 days prior to arrival, we will charge the credit card we have on file. 

August Move-In Week: Two-night minimum. One night deposit at the time of reservation for each room reserved. Reservations can be canceled prior to August 1st for a full refund, cancellations after August 1st will forfeit the entire reservation cost. Reservation balance due August 1st, we will charge the credit card we have on file. 

Room Blocks, Multi-Room Reservations (3 or more), and Extended Stay Reservations: A 25% deposit will be required for reservations with three or more rooms and/or reservations for four (4) or more consecutive nights at The Oaks Victorian Inn. With limited inventory, booking multiple rooms and/or extended reservations canceled less than 14 days prior to arrival can displace the opportunity to fill these rooms. The cancellation policy for these reservations is 14 days in advance, cancellations made inside 14 days will forfeit the entire reservation cost. Reservation balance due 14 days prior to arrival, we will charge the credit card we have on file.
